Services

The Services module is where you define the clinic's offerings. Here you configure the duration of each consultation, who performs them, and whether they are visible to patients or reserved for internal use only.

Service List Management

The main screen displays a summary of all services the clinic offers:

Activate / Deactivate

Use the toggle switch to temporarily hide a service from the booking portal. For example, if diagnostic equipment is down for maintenance, deactivate the related service without deleting it. Reactivate it once the equipment is back online.

Edit / Delete

  • Edit: Modify the service's name, duration, assigned providers, or visibility settings.
  • Delete: Permanently remove the service from the system. Only do this if the service will never be offered again.

Visual summary

The service list shows the total duration and the number of professionals qualified for each service at a glance.

Creating a New Service

When adding a service, you define its visibility, timing, and assignment rules.

Name and duration

Set the service name (displayed to patients and staff) and its duration. The duration determines how much time the service occupies in the calendar grid.

Private services

If you activate the Private Service option, the service will not appear on the patient booking link. Only administrative staff can schedule it internally.

Ideal for: Complex surgeries, specialized procedures, or any service that requires pre-screening before booking.

Service type

A service can be assigned to:

  • Individual provider: A single professional performs the service.
  • Team (multi-provider): Multiple professionals participate simultaneously.

Advanced Team Coordination (Multi-Provider Services)

For services requiring the participation of multiple professionals at the same time (e.g., a surgery), the system provides granular control over each team member's involvement.

Member-specific configuration

Within a team service, you can define specific rules for each professional:

Example: For a 2-hour surgery:

  • The anesthesiologist starts at 08:00 (full 2 hours)
  • The surgeon starts at 08:30 (1.5 hours, deferred start of 30 minutes)
  • The nurse is present for 1 hour starting at 08:00

Intelligent calendar blocking

This is the most critical feature for clinic efficiency. The system only blocks the actual time of participation for each professional:

  • Precise blocking: If a service has a deferred start, the system keeps the professional's calendar free until the exact moment they are required to join.
  • Optimization: This allows a doctor to see a quick 15-minute consultation in their office while the rest of the team is preparing the patient in the operating room for a surgery that has technically already begun.

The deferred start feature is a powerful scheduling optimizer. Use it whenever team members have staggered involvement in a procedure. This prevents unnecessary calendar blocking and maximizes each provider's available consultation time.

Best Practices

  1. Avoid overlapping service names. Clear, distinct names reduce booking errors, especially in the patient-facing portal.
  2. Use the toggle to deactivate services temporarily instead of deleting them. This preserves configuration and historical data.
  3. Review team service configurations after any staffing changes to ensure roles and durations are still accurate.
  4. Leverage deferred start for all multi-provider services where professionals have staggered involvement. Every freed-up slot is an opportunity for another patient.
