Configuration

The Configuration tab is the foundation of your clinic's setup. The settings defined here directly impact the patient's booking experience and how the calendar behaves for administrative staff. Get these right before configuring anything else.

Basic Clinic Information

These fields establish your clinic's identity in the system and on the patient-facing booking portal:

Choose a URL slug that is short, easy to remember, and easy to spell over the phone. Patients will type this directly into their browsers.

Operating Rules (Clinic-Wide Settings)

These rules govern how the booking system behaves across the entire clinic:

Rescheduling block time

Defines how many hours before an appointment a patient is blocked from changing their slot on their own. For example, a 48-hour setting means patients cannot self-reschedule within 48 hours of their appointment time.

Why this matters: It prevents last-minute gaps in the schedule that the clinic cannot fill. Staff can still make changes internally at any time.

Appointment interval

Sets the calendar "grid" resolution. For example, a 15-minute interval means the calendar displays slots every 15 minutes. Choose an interval that matches your most common appointment duration.

Copago Plus message

This is the custom text that appears in the orange alert box when an admin books a patient whose insurance plan requires an additional co-pay. It serves as an internal reminder for staff to inform the patient about the extra cost.

The Copago Plus message is for internal staff use only. Patients do not see this text directly. Make it concise and action-oriented, for example: "Inform the patient about the additional co-pay before confirming."

Clinic Hours (Working Hours)

These settings define the overall operating boundaries for the institution. Individual provider schedules are configured separately in the Providers tab.

Days off

Entire days can be disabled. For example, if the clinic does not operate on Sundays, disable that day entirely. The calendar will not show any bookable slots on disabled days.

Time range

Set the opening and closing times for the clinic (e.g., 07:00 to 23:00). These boundaries apply to the calendar grid and prevent bookings outside operating hours.

Provider schedules must fall within the clinic's operating hours. If a provider's configured hours extend beyond the clinic's time range, the system will enforce the clinic boundary.

After Making Changes

After editing any configuration setting:

  1. Test a booking through the patient-facing link to confirm rules are applied correctly.
  2. Test a booking through the internal calendar to verify staff-side behavior.
  3. Notify the team about any rule changes that affect daily operations (e.g., a change in rescheduling block time).
