Providers
The Providers tab is where you manage the clinic's medical team. Each provider has their own contact information and, most importantly, their own specific work schedule that controls when patients can book appointments with them.
Provider List Management
From the main list view, you can perform the following actions on each provider:
Edit
Modify basic details including Name, Specialty, and Email address.
Archive
If a provider no longer works at the clinic, you can archive them instead of deleting. Archiving:
- Removes the provider from the active list
- Removes them from the patient-facing booking link
- Preserves their complete appointment history for reporting and auditing
Always archive rather than delete providers who have left the clinic. This maintains data integrity for historical reports and patient records.
Schedule (Horario)
This is the most critical button for each provider. It opens the availability configuration where you define exactly when the provider is available to see patients.
Adding a New Provider
Click "Add Provider" to open the creation modal. Fill in the provider's contact details (name, specialty, email).
Custom rescheduling time
When adding or editing a provider, you can check the "Customize rescheduling time" box to override the clinic-wide rescheduling block.
Use case: If the clinic has a default 48-hour rescheduling block, but a specific doctor allows their patients to reschedule up to 12 hours before the appointment, you can set this override just for that provider.
This gives flexibility without changing the global clinic rule.
Schedule Configuration (Work Hours and Breaks)
The schedule screen is the provider's availability engine. It determines which slots appear as bookable on the calendar and the patient portal.
Work hours
For each day of the week:
- Enable or disable the day (toggle on/off).
- Set the time range (e.g., 08:00 to 18:00).
Only enabled days with defined hours will show availability in the calendar.
Breaks (Descansos)
Breaks allow you to block specific time periods within the workday. The system will automatically prevent patients from booking during these windows.
Common break configurations:

Use breaks strategically. If a provider needs 30 minutes for administrative tasks between morning and afternoon patients, add it as a break rather than adjusting their work hours. This keeps the schedule structure clear and consistent.
Best Practices
- Complete the full profile before enabling a provider on the booking portal. Incomplete profiles create confusion for patients.
- Set breaks accurately to avoid patients booking into times when the provider is unavailable.
- Use the custom rescheduling time for providers who have different flexibility preferences rather than changing the clinic-wide default.
- Review schedules periodically to ensure they reflect any changes in the provider's availability (e.g., seasonal adjustments, new clinic days).
